Problem
The company had no centralized, reliable internal system to manage the shipment lifecycle – teams were using a mix of outdated tools, spreadsheets, and separate programs to handle their work. This made critical processes like creating a new shipment or tracking load data slow, error-prone, and inconsistent. Employees had to jump between different platforms just to complete simple tasks, and there was no shared logic or flow tying everything together. As a result, coordination between departments was difficult, productivity suffered, leading to lost revenue and frustration on all sides. The company needed a well-organized, purpose-built system that could support its growing operations and give users a tool they could actually trust.
Process
1. Gathering Requirements
For each new system module, we started by receiving a list of initial requirements from the Product Owners.
2. User Interviews
To uncover unspoken user needs, we conducted interviews and closely observed how users interacted with the current system.
3. Alignment
Insights gathered during research were regularly discussed and incorporated into the evolving set of requirements.
4. Wireframing
Low-fidelity screens were being created and refined through multiple rounds of iteration and collaboration with the Product Team.
5. Frontend Approvals
When necessary, we walked developers through specific interface elements to prevent potential issues during implementation.
6. User Testing
Clickable prototypes, based on approved concepts, were tested by users through predefined scenarios to validate the designs.
7. Finalization
We adjusted the designs based on feedback, then submitted them for final review by the Product Owners and presented them to the Board of Directors.
8. Development Handoff
After receiving board approval, the finalized screens were marked as “Ready” and handed off to developers with completed documentation.
Solution
We built a completely new internal logistics system from the ground up, focused on speed, clarity, and consistency. The interface was designed around real user needs, with intuitive navigation, faster ways to create and manage loads, and smart automations to cut down repetitive tasks. A core part of the solution was a centralized design system that ensured every screen felt familiar and easy to use. We also created full-featured tablet and mobile versions, so employees could manage shipments on the go without losing any functionality.
Results
Seamless integration of all modules into a unified ecosystem supporting the entire Shipment Lifecycle – including Load Creation & Editing, Quotes, Carrier Assignment, and Billing Flow.
Automation of processes previously handled manually, such as document management, customer addresses and bill-to information, invoicing, and data synchronization across carrier and customer profiles.
7x faster load creation compared to the previous system, significantly accelerating the entire Shipment Lifecycle.
Overwhelmingly positive feedback from users who are genuinely excited about the upcoming launch of the new system
Learnings
Designing a complex enterprise system from scratch taught me how to turn disconnected workflows into clear, efficient experiences and navigate a flood of complicated requirements. Balancing speed with structure, using user feedback to drive smarter decisions, and ensuring the system worked equally well for first-time users and experienced logistics managers sharpened my skills in building scalable design systems and confidently defending solutions to management.
